Simple follow-up CRM for small service businesses

I manage a small team and we're currently keeping a lot of customer information and follow -ups across spreadsheets, email and WhatsApp. It's starting to get messy as the number of customers grows . I don't need anything as big as Salesforce. I mainly want one place where the team can see customer details, add notes , keep track of follow-ups and see the current status. Probably around 8-10 people would need across. I've been hearing about AI app builders like emergent or replit and also those no code builders like bubbe and softr , and thinking about building an internal tool instead of paying for custom software straight away. I'm confused between options, help me decide and share your experience with these tools or CRM . Read more
I was a young salesperson in 1998 and my cousin put ACT! on to my computer. I loved it. I ended up sales manager in 2003 and we had 500,000 contacts in the crm and ACT worked fine. Simple to use and fast lookups etc. Then ACT kept "upgrading" to the point where it no longer was worth using, it took forever for a simple lookup. I had to reduce the database to 2500 contacts. I decided to try another CRM and lost the notes and history when we moved over. The sales people did not adapt to the new CRM. It was complete overkill. What happened? I never found another simple, fast CRM like ACT from 1998. I learned a new word "bloat". "In CRM software, bloat (or "feature bloat") refers to an over-engineered system packed with excessive, complex features, deep configuration menus, and unnecessary analytical tools that the average salesperson rarely uses." Bloat sucks.
I’ve been running my service business for a while now, and my current "system" (a mix of sticky notes and a spreadsheet) is officially failing. I missed a callback yesterday that probably cost me a $2k job. I’m looking into actual CRMs, but they all feel so bloated. I don’t need marketing automation or fancy reports—I just need a simple, reliable way to see who I’ve talked to and who needs a follow-up today. How did you guys transition from a spreadsheet to a "real" system without it becoming a full-time job just to update the data? Are there any simple, low-cost trackers that actually work for a small team, or should I just hire a VA to manage a Google Sheet? Read more
For businesses that get inquiries from more than one channel — email, phone calls, website forms, Facebook, Instagram, WhatsApp, etc. — how do you keep everything organized? Do you manually enter every lead into a CRM or spreadsheet, or do you mostly keep track of conversations inside each app? What usually causes the biggest problems? forgetting to reply; responding too late; not knowing whether someone else already replied; losing the conversation between different apps; something else? I’m especially interested in how small teams handle this without creating a lot of extra admin work.
Hey everyone, I'm in the early stages of running a small service business (consulting + digital services) and I'm trying to get organized before things get messy. Right now I'm tracking leads and clients in a basic spreadsheet but I can already feel it getting out of hand. A friend suggested I look into a CRM but honestly I don't know where to start. A few things I'm trying to figure out: - What CRM are you actually using day to day and would you recommend it? - What's a reasonable budget for a small team of 1-5 people? - What features do you actually use vs what sounds good but you never touch? - Is there anything you wish you had from day one that you had to figure out later? - Any tools you tried and ditched and why? Not looking for the most feature-rich option, just something that won't overwhelm a small team and actually gets used. Open to both free and paid options. Appreciate any honest opinions.
We've been putting this off, but deals are slipping from our hands and there's no clear view of the pipeline. We need contact management, basic deal tracking, and visibility across the team. Our budget is kind of tight, so we're starting with free tiers before committing to anything paid. We're looking at HubSpot Free, Salesforce Free CRM, and Zoho. HubSpot feels the cleanest to set up but I keep hearing it nudges you toward paid pretty aggressively as you grow. Salesforce surprised me, didn't expect a free tier from them but it seems more scalable if we ever grow past this stage but i am not sure, especially after reading some comments. Zoho looks capable but honestly the UI is putting me off a little. Has anyone here actually used any of these with a team our size? Did the free tier hold up or were you forced to upgrade faster than expected? Would love to hear what actually worked before we spend a weekend setting something up we'll regret.
I have been running my shirt design business for about a year now and things are finally picking up. Up until now, I have just been using a giant spreadsheet to keep track of my clients and their projects, but I am starting to lose track of who I need to follow up with. I'm looking for a way to organize my contacts without having to spend weeks learning a complicated new system. I am curious what you all think about the options out there. Would love something that feels intuitive and doesn't have a massive learning curve. How did you all handle your client lists when you are just starting to scale? Advices are welcome!
